How can I set up my email account so that messages in my junk mail (or deleted folder) can be automatically deleted?

  • Log into the web interface of the mail server your domain is setup on, using your Admin account; i.e. admin@[domain].com. This will be either http://mail.orcsweb.com or http://mail3.orcsweb.com
  • Go to My Settings
  • Select My Folder Auto-Clean.
  • If you like the default settings then no change is required, otherwise select the radio button next to 'Override auto-clean settings for this account' and enter in the amounts you desire.

I need to set up a POP mail account called sales@[domain].com. How do I do this?

  • Log into the web interface of the mail server your domain is setup on, using your Admin account; i.e. admin@[domain].com. This will be either http://mail.orcsweb.com or http://mail3.orcsweb.com
  • Select "Settings" at the top, then "Email Accounts" from the drop-down menu
  • Click "Add User"
  • Enter the account name (sales) into the Username field
  • Enter the desired password, twice where noted
  • Fill in the remaining information as desired, or leave for the user to add
  • Verify account options for "Display Settings", "Compose Settings", etc. are set as required for this account
  • Click "Save" at the top of the "Add User" box

A POP account of sales@[domain].com is now created.

I want to be able to access email addressed to more_sales@[domain].com with an existing POP (sales@[domain].com) account. How do I do that?

  • Log into the web interface of the mail server your domain is setup on, using your Admin account; i.e. admin@[domain].com. This will be either http://mail.orcsweb.com or http://mail3.orcsweb.com
  • Select "Settings" at the top, then "Email Accounts" from the drop-down menu
  • Click "Add Alias"
  • Enter the alias name (more_sales) in the "Alias Name" field
  • Enter the exiting email address (sales@[domain].com) in the text box
  • Multiple email addresses can be added, one address per line
  • Click "Save"

An alias of (more_sales@[domain].com) has now been added. Email messages sent to this alias will be delivered to the "sales@[domain].com" POP email account.

How do I change my reply-to address in the webmail interface?

  • Log into the web interface of the mail server your domain is setup on, using your Admin account; i.e. admin@[domain].com. This will be either http://mail.orcsweb.com or http://mail3.orcsweb.com
  • Select "Settings" at the top, then "My Settings" from the drop down menu
  • Enter the desired address (sales@[domain].com) in the "Reply-to address" field
  • Click "Save"

Your Reply-to Address is now sales@[domain].com

How do I set up a "catch-all" default email address (for messages sent to invalid addresses)?

  • Log into the web interface of the mail server your domain is setup on, using your Admin account; i.e. admin@[domain].com. This will be either http://mail.orcsweb.com or http://mail3.orcsweb.com
  • Select "Settings" at the top, then "Email Accounts" from the drop-down menu
  • Click "Set Catch-all" at the top of the box
  • Select the Alias Name that will receive the messages from the drop-down menu
  • Click "Save"

All messages addressed to invalid addresses will be delivered to the POP account specified on Alias Name selected. A "Catch-all" is not recommended due to the amount of spam that will result, but it is an available feature if required.

Does ORCS Web support mailing lists (maybe at some extra cost)? The SmarterTools web site indicates that this is a feature available in all versions of SmarterMail.

We are not currently supporting mailing lists because the current version of SmarterMail does not have specific mailing list features that we feel are required for us as a host; we are considering offering it in the future.

How are Filters added in SmarterMail to filter incoming messages?

  • Log into the web interface of the mail server your domain is setup on, using your Admin account; i.e. admin@[domain].com. This will be either http://mail.orcsweb.com or http://mail3.orcsweb.com
  • Select "Settings" at the top, then "My Content Filtering" from the drop-down menu
  • Click "Add Filter" at the top of the box
  • Select the Filter specific information that the filter will apply to, such as "From specific address", then click "Next" at the top of the box
  • Complete the "Filter Type" and "Criteria Details", then click "Next" at the top of the box
  • Assign a "Rule Name" and "Actions"
  • Click "Save"
  • All messages that meet the Filter conditions will be handled as specified. After adding rules they can be managed by selecting "Settings" at the top, then "My Content Filtering" from the drop-down menu.

Reading on SmarterMail on the SmarterTools site, I notice that it supports both spam filtering and virus scanning. Will the Barracuda spam filter be replaced with SmarterMail? Is the virus scanning available?

The Barracuda will stay in place and continue to be the primary spam filter. Clients can use the SmarterMail Filters, but not the Spam Filtering; it is not enabled, as it only duplicates what is done on the Barracuda. We plan to use Declude for virus scanning ultimately, but will use the Barracuda for Virus scanning initially.

How do I check my folder size in SmarterMail?

Click here for instructions with screen shots.  Here is a summary:

  • Go to the respective URL in your Internet browser. This will either be http://mail.orcsweb.com, http://mail2.orcsweb.com or http://mail3.orcsweb.com. This is usually the same URL as the one used in your POP3 / SMTP settings. If you are not sure which link to use, please email webteam@orcsweb.com for further assistance. 
  • Type in your Username and Password. The Username is your full email address (user@example.com)
  • Click My Settings *Note: The yellow bar graph in the upper right corner of this page shows a summary of your usage.
  • Select My Folders
  • This will display a breakdown of all your folders and respective sizes.

This can help you quickly locate which folders are using the most space.

How does a domain administrator check folder sizes for all their users in SmarterMail?

This assumes you are a ‘domain administrator’ account. This usually is your ‘admin@yourdomain.com’ account.
  • Go to the respective URL in your Internet browser. This will either be http://mail.orcsweb.com, http://mail2.orcsweb.com or http://mail3.orcsweb.com. This is usually the same URL as the one used in your POP3 / SMTP settings. If you are not sure which link to use, please email webteam@orcsweb.com for further assistance.
  • Type in your Admin User name and Password. The Username is your full ‘Admin’ email address (admin@yourdomain.com)
  • Click Reports
  • Select Domain Disk Space *Note: The yellow bar graph in the upper right corner of this page shows a summary of your usage.
  • This will display a way to run a report for your entire domain.
  • Click Generate Report
  • This will show a breakdown for users and mailbox sizes.

This can help an administrator determine their users disk space for the entire domain.
